What this policy covers
This policy covers personal information we collect through ardenstrata.co.uk and through enquiries, quotations and correspondence that begin on this website. It does not cover personal information we process as an employer, or information held by our clients and main contractors under their own arrangements.
The information we collect
Information you give us. When you submit a quote request or contact us, we collect the details you provide. This typically includes your name, email address, telephone number, the organisation you represent, the project type and location, your indicative programme or timeline, and the content of your message. If you attach drawings, specifications, schedules or other documents, we receive those too, together with any personal information they happen to contain.
We also collect the content of emails, calls and messages exchanged with us about a project or enquiry.
Information we collect automatically. When you visit the website we may collect technical information including your IP address, browser type and version, device and operating system, and the pages you view. This is collected through cookies and similar technologies — see the Cookies section below.
Information we do not want. We do not need special category information (such as health, ethnicity, or trade union membership) to respond to an enquiry. Please do not include it in a message or an uploaded document.
How we use your information, and our lawful basis
Responding to enquiries, preparing quotations and tender submissions. Taking steps at your request before entering into a contract, and our legitimate interest in operating and growing the business.
Delivering, managing and administering projects. Performance of a contract, and our legitimate interest in managing client relationships.
Keeping accounting, tax, insurance and health and safety records. Compliance with a legal obligation, and our legitimate interest in defending claims.
Keeping our website secure, diagnosing faults and preventing misuse. Our legitimate interest in protecting the site and our business.
Occasional updates about our services to business contacts. Our legitimate interest in business development. You can opt out at any time.

Who we share your information with
We do not sell your personal information. We share it only where we need to:
- Service providers acting on our instructions, including our website host and form provider (Webflow), our workflow automation provider (Zapier), our customer relationship management system (Pipedrive), and our email and document storage providers. Each is bound by contract to process personal information only on our instructions and to keep it secure.
- Our professional advisers, including accountants, insurers and legal advisers, where necessary.
- Clients, main contractors and their agents, where necessary to price, coordinate or deliver a project you have contacted us about.
- Authorities and third parties, where we are required to do so by law, or to establish, exercise or defend legal claims.
Transfers outside the UK
Some of our service providers store or process information outside the United Kingdom. Where that happens, we make sure an appropriate safeguard is in place — either the country is covered by UK adequacy regulations, or the transfer is made under the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
You can ask us for details of the safeguards that apply to a particular provider.
How long we keep your information
We keep personal information only as long as we need it.
- Enquiries that do not proceed: 24 months from our last contact with you.
- Client and project records, including correspondence and drawings: 6 years from the end of the contract, or 12 years where the contract was executed as a deed.
- Accounting and tax records: 6 years from the end of the financial year they relate to.
- Health and safety records: for the period required by the applicable regulations.
- Business development contacts: until you ask us to stop, reviewed at least every 24 months.
At the end of these periods we delete the information or anonymise it so it can no longer identify you.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete information where there is no good reason for us to keep it;
- ask us to restrict how we use your information while a concern is resolved;
- object to us using your information where we rely on legitimate interests, and object at any time to direct marketing;
- ask us to transfer certain information to you or another provider in a machine-readable format; and
- withdraw your consent at any time where we rely on consent, without affecting anything done beforehand.
To exercise any of these rights, email tenders@ardenstrata.co.uk. We will respond within one month. There is no fee in normal circumstances, and we may ask you to confirm your identity before we act.

This website uses only the cookies and similar technologies needed to make the site work and to keep it secure. These are set automatically and do not require your consent.
We do not currently use advertising cookies, and we do not track you across other websites.
You can block or delete cookies through your browser settings, but parts of the site may then not work correctly.
How we keep your information secure
We use reputable service providers, encrypt data in transit using HTTPS, and limit access to personal information to those who need it. No transmission over the internet is completely secure, so we cannot guarantee the security of information sent to us online.
